What is a brand profile?
A brand profile is the organisational unit in AI Native. It holds your brand, its products, your scan history, your credit balance, and your team members. Every brand profile is isolated from every other one at the data layer. When you sign up, a brand profile is created for your company, and you become its owner. Everything you do in AI Native, running scans, reviewing results, inviting colleagues, happens within a brand profile. We recommend one brand per profile so each team only sees its own data.
How does sharing work?
Sharing is per brand profile. Everyone you invite to a profile sees everything inside it: the brand, its products, every scan, and the action plan. There is no domain auto-join, so nobody is added just because they share your company email domain. People get in one way, by an explicit invite from an owner or admin. The profile's own wallet pays for every scan, regardless of who runs it, so cost stays tied to the profile rather than the individual.
What are the four roles?
AI Native has four membership roles: owner, admin, strategist, and viewer. Each role is a progressively narrower set of permissions. Owner has full control. Admin can manage most profile settings and members but cannot transfer ownership. Strategist can run scans, edit brand facts, and manage products, but cannot change profile settings or billing. Viewer can read all scan results and reports but cannot launch scans or make changes. The role you assign someone determines which actions they can take inside your brand profile.
What can an owner do that an admin cannot?
The owner role is what allows brand-profile ownership transfer, closing the profile, and billing changes including top-ups. Admins manage day-to-day settings, invite members, and change other members' roles, but the profile-level controls that affect the account itself are reserved for the owner. What can a strategist do that a viewer cannot?
A strategist can launch live and demo scans, edit the product profile and brand facts in the Brand facts studio, confirm or reject ground-truth fact candidates, and manage the prompt set. A viewer can see all of this but cannot change or trigger anything. Strategist is the right role for the team members who are actively working on improving AI visibility; viewer is the right role for stakeholders who need to read the results without making changes.
How do I invite a team member?
Owners and admins send invitations from the Team tab of the Brand profile screen. You enter the invitee's email address and choose which role they should have. Invite only people who belong to this brand, because a member sees everything in the profile. The invitation generates a time-limited link, which is emailed to the invitee. When they follow the link, they either create an account (if they are new to the platform) or confirm their existing password (if they already have an account). On acceptance, they are added to your brand profile with the role you chose.
Will people on my company domain be added automatically?
No. There is no domain auto-join in AI Native. Sharing a company email domain does not grant access to a brand profile. Someone joins one way only, by accepting an explicit invite that an owner or admin sent to their address.
Who pays for a scan, the person who runs it or the profile?
The brand profile's wallet pays for every scan in that profile, no matter who runs it. Credits are held and settled against the profile's balance, not the individual member's account. This keeps cost and access tied to the profile.
Does the invitee need an existing account?
No. The invitation flow handles both cases. If the email address has no existing account, the invitee is prompted to set a name and password as part of accepting the invite. If the email is already registered, they confirm their identity with their existing password. Either way, they land in your brand profile on the role you specified as soon as they accept.
Can I change a team member's role after they have joined?
Yes. Owners and admins can change any member's role from the Team tab, except they cannot demote the last owner (the profile must always have at least one owner). Changing a role takes effect immediately for that member's next action. There is no grace period.
What happens when an invite expires or is not accepted?
Invitations are time-limited. If the invitee does not accept within the validity window, the invite expires and the link no longer works. You can send a new invitation at any time to the same address with the same or a different role. There is no limit on how many times you can re-invite someone.
Can a member belong to more than one brand profile?
Yes. A person can be a member of multiple brand profiles under different roles. If someone is an owner of one profile and a viewer in another, their role in each is independent. When they log in, they can switch between the profiles they belong to from the profile switcher in the sidebar. Each profile has its own brand, products, scan history, credit balance, and settings. This is the recommended setup for agencies: one profile per client.
Does email verification apply to all accounts?
Email verification is required for self-serve signups through the public signup form. The verification link is sent immediately on signup, and the account cannot access the app until the email is confirmed. Users who join through a brand-profile invitation are exempt from this requirement: the invitation itself serves as a verification-equivalent step because the invite was sent to their address by an admin or owner who knows them.
What is the audit log?
The audit log is a record of significant actions taken in your brand profile: logins, scan launches, fact changes, invitation sends, profile switches, and any platform-administrator access. The log is append-only and is available to owners. It is useful for governance, understanding what changed and when, and confirming that platform-administrator access (if it occurred) was read-only and time-limited.
Can platform administrators access my brand profile?
Platform administrators can access brand-profile data for support purposes, but only in a read-only, time-limited session. They cannot make changes, launch scans, or modify your configuration. Every such access is recorded in the audit log with a timestamp. This is a structural constraint in the platform, not a policy: the impersonation mode is hardcoded to block mutations.
How do I remove a team member?
Owners and admins can remove a member from the Team tab. Removing a member revokes their access immediately. Their historical contributions, such as facts they confirmed or scans they launched, remain in the brand profile. If the member you are removing is the last owner, you must first assign the owner role to another member before removing them.
